Reporting to the Administration Manager, the Administrator – Service is a permanent opportunity to provide comprehensive administrative support to the Gunnedah branch and service team, ensuring the efficient processing of invoices, work orders, accounts receivable, customer enquiries, and office operations to support service delivery and business performance.
About the Opportunity
As a key member of the team, your responsibilities will include:
- Process service invoices, subcontractor invoices, and credit notes accurately.
- Manage accounts receivable activities, resolving invoice queries to support timely payment collection.
- Coordinate the closure of Work in Progress (WIP) jobs and ensure service jobs are invoiced and completed efficiently.
- Processing warranty claims accurately and within required timeframes.
- Raise and manage purchase orders in accordance with company policies and approval processes.
- Provide administrative support to the Service Department, including job creation and maintenance of service records.
- Assist with timesheet coordination and payroll administration to ensure accurate and timely processing.
- Support the Service team with Tooling and Fleet compliance.
To be successful you will need:
- Previous experience in an Administration, Service Administrator.
- Experience processing invoices, purchase orders, accounts receivable.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Experience using Microsoft Office applications.
- Proven ability to manage multiple priorities, meet deadlines, and maintain accurate records.
- Strong communication and stakeholder management skills, with the ability to liaise effectively with customers, suppliers, and internal teams.
- Experience supporting service, maintenance, mining, construction, or heavy equipment operations will be highly regarded.
- Demonstrated commitment to providing excellent customer service and maintaining professional workplace standards.
