The Opportunity

We are seeking a highly organised and proactive Workshop Coordinator to join our team at our Cavan branch in Adelaide.

Reporting to the Service Manager, you will be responsible for coordinating workshop repairs, machine builds, and refurbishment activities to ensure jobs are planned, resourced, and completed efficiently. Acting as the central point of coordination, you'll work closely with technicians, suppliers, subcontractors, and internal stakeholders to maintain workflow, manage priorities, and deliver an exceptional customer experience.

Key Responsibilities

  • Coordinate workshop schedules, machine builds, and refurbishment projects
  • Manage job progress, WIP, work orders, and invoicing activities
  • Coordinate parts procurement and ensure materials are available before work commences
  • Liaise with technicians, suppliers, subcontractors, and customers to ensure smooth project delivery
  • Monitor timelines, identify potential delays, and proactively resolve scheduling issues
  • Maintain accurate documentation, reporting, and compliance records
  • Support quality, safety, and continuous improvement initiatives across the workshop

About You

  • Previous experience in a Workshop Coordinator, Service Coordinator, Planner, Scheduler, Service Advisor, or similar role
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent communication and stakeholder management skills
  • High attention to detail and strong administrative capability
  • Experience within construction, heavy equipment, automotive, manufacturing, mining, or a related industry will be highly regarded
  • A proactive, solutions-focused approach with a strong customer focus
